Fantastic opportunity to join our client’s legal team as a Legal Billing Administrator, where you'll manage budget trackers, vendor onboarding, invoice coding, and support daily billing and budgeting processes.
This is a 1- year contract with possible extension should business needs align.

What- The Role:The Legal Billing Admin will support the Billing Analyst in completing daily billing and budget functions for the legal team. This role involves working with internal Legal team members, external vendors, and business partners such as Finance and Accounting. This role will be responsible for accurate and timely updates to various budget trackers, tracking monthly accruals, managing the vendor onboarding process, reviewing & coding invoices in AP system (Coupa), creating POs and assisting with billing and budgeting inquiries. The Legal Billing Admin will collaborate closely with the Billing Analyst on daily tasks, support the growth and development of budget work, including metrics and reporting, and participate as needed with work relating to longer-term strategic projects.
- Vendor Onboarding: Assist the Billing Analyst in onboarding new vendors, ensuring all necessary documentation and information are collected and accurately recorded.
- Monthly Accruals: Track and manage monthly accruals from vendors, ensuring all financial data is up-to-date and accurate.
- Invoice Review & Tracking: Monitor and track monthly invoices, ensuring proper coding, timely processing and payment.
- New Matter Set Up: Work with Procurement to ensure all New Matters are set up in Coupa and completed matters are removed.
- Support to Legal Team: Questions relating to billing, budget, Coupa, etc.
- Support to Outside Counsel: Questions relating to outstanding invoices, Coupa, etc.
- Data Management: Maintain and update global budget trackers, Outside Counsel directory and Matter list.
- Reporting: Assist Billing Analyst to prepare financial reporting and summaries.
- Expense Management: Assist the Billing Analyst identifying budget inconsistencies & trends.
- High school diploma or equivalent; associate or bachelor’s degree in finance, accounting, or a related field is preferred.
- 1-3 years’ billing or administrative role.
- Detail oriented.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite, especially Excel.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Be comfortable rapidly learning, and then training on, existing and new Legal software applications and processes.
- Thrive in multitasking, be flexible, and enjoy working in the weeds to get things done.
- Be able to successfully coordinate projects and competing priorities, by taking action from the strategic level down to project details.
$34-36/hr commensurate with experience + 4% vacation pay.
Where:Vancouver, hybrid working model of minimum 3 days’ onsite and 2 remote working days.
