JOB TITLE: Executive Assistant | #1978

SERVICE AREA: Administration

LOCATION: DDA Head Office, Richmond, BC

START DATE: To be determined

STATUS: Permanent Full Time 

SCHEDULE/HRS: Monday to Friday 8:30 - 16:30 // 37.5 hours per week

ANNUAL SALARY: $72,000

The Role:

To assist the Executive Director in any and all manner to facilitate this role's accountabilities, in particular, with the administrative and clerical support to the Board of Directors and committee structure while managing administrative, reception and related clerical functions. 

ACCOUNTABILITIES:

  • Systems and Processes: Recommends the development and improvement of reception, administrative and clerical systems and processes to the Executive Director and implements existing, reception and clerical procedures and practices. 
  • Governance Support: Assists the Executive Director in supporting, facilitating and resourcing the Board of Director's work including but not limited to minute taking and distribution, meeting logistics and notices, maintenance of records. 
  • Logistics: Anticipates, organizes and manages the logistics and details pertaining to designated meetings, conferences, functions, schedules, travel, appointments, etc. related to the Executive Director's work and direction. 
  • Clerical & Reception: Ensures maintenance and organization of the files and records of the central filing department while ensuring the reception function. 
  • Risk Management: Ensures complete confidentiality of all information pertaining to the assistance provided to both the Executive and Governance function of the organization. 
  • Reports & Presentations: Collects, formats and disseminates relevant data for use by others in designated reports, summaries, proposals and presentation material using relevant software. 
  • Finance: Controls and monitors approved spending limits and procedures and the reception team's payroll submission.
  • Internal External Relationships:  Works collaboratively within assigned cross boundary relationships to get or give information and services and uses team efforts to maintain and improve relationships with external partners, stakeholders and "customers".

Requirements/Education/Experience:  

Required 

  • Completion of Grade 12
  • 4 or more years of experience in an administrative role reporting directly to upper management
  • 2 or more years’ supervisory experience in an administrative setting.
  • Strong proficiency with office productivity tools and computer software programs
  • Excellent written and verbal communication skills
  • Utmost confidence to be maintained and discretion required
  • Criminal record clearance.
  • Medical clearance declaration 

Preferred

  • Certificate/Diploma in office management
  • Experience in a Non-Profit setting
