About the Opportunity

At Urban Matters, we’re on a mission to co-create better outcomes for communities facing complex social problems. We’re searching for a passionate and experienced Document Design Administrator to join our existing team. This opportunity is open to any of our current Urban Systems Ltd. locations.

Do you see yourself excited to contribute to…

  • Document Design and Production – Drafting documents with minimal instruction and using a variety of software (MS Office) to create engaging and accurate reports, proposals, and presentations.
  • Graphic Design – Utilizing graphic design skills to enhance the visual appeal and effectiveness of documents and presentations.
  • Project Administration – Be proactive in supporting the coordination of projects throughout all phases from initiation to completion. This includes tracking project schedules, drafting documents, coordinating meetings and engagement logistics, project correspondence, record organization, and coordinating other administrative details.
  • Administrative Support – Work collaboratively to support the continued growth and evolution of our business by providing administrative support. Typical duties include administration of our billings, supporting internal and external communications, organizing team events, new hire onboarding, engagement event logistics, travel, and liaising with our internal IT department.

About You

Our focus is finding the right person to add to our team, and we will consider various backgrounds including business management, office administration or equivalent experience with a minimum of 2 years. The following attributes, skills and experience would be considered beneficial:

  • You have experience in document production – You exhibit proficiency in creating, organizing, and presenting clear, accurate, and professionally formatted documents for various purposes. Graphic design experience (Adobe, Canva, etc.) is considered an asset.
  • You are a self-starter – You take the initiative to independently identify and act on opportunities or challenges, requiring minimal supervision.
  • You are committed to understanding our business – You consistently seek to deepen your knowledge of the organization’s goals, culture, and values, ensuring alignment in decision-making and actions.
  • You are accountable and dependable – You take personal responsibility for the quality and timeliness of your work and achieve results. You are able to follow accounting and administrative processes accurately and meet business deadlines.
  • You are adaptable and flexible – You maintain accuracy, a positive attitude, and an open mind in the event of changes in business needs, conditions, or work responsibilities.
  • You are curious – You respond well to change, with a positive attitude, as a natural occurrence of any business. You approach issues and obstacles with an open mind and can discover creative solutions to problems as they arise.
