The Admissions Associate liaises with applicants through the prospect, application, and admission process to provide information and ensure timely and accurate communication. The Admissions Associate works collaboratively as part of a team with other Student Services staff within an integrated (one-stop) service model and acts as a first point of contact for all prospective and continuing students seeking admission and registration information. The Admissions Associate plans and organizes student tours and information sessions, recommends the hiring of student monitors for tour guide and other Student Services activities, and assists with recruitment activities on and off campus as required. This role provides direct administrative and clerical support to the Admission and Recruitment area and is responsible for the receipt and processing of admission documents and organization of applicants’ files. The Admissions Associate works with the Admissions team to analyse complex administrative functions, compile data and information, evaluate findings, formulate solutions, and present innovative and creative recommendations seeking to streamline or improve operations.
As the successful applicant, you should possess:
- Bachelor’s Degree in visual arts or design.
- Two years’ experience in a busy customer service, registration, or recruitment environment.
- Or an equivalent combination of education and experience. 0
- Excellent written and verbal communication skills.
- Excellent interpersonal, listening, problem solving, and customer relations skills.
- Proficient in Microsoft Office and Student Information Systems.
- Ability to work effectively under pressure and in an open office area.
- Some physical ability is required for the shipping and receiving of recruitment materials.
- Ability to establish effective working relationships with students, staff, faculty, and the public.
Typical Duties include:
The Admissions Associate works collaboratively as part of a team with other Student Services staff within an integrated (one-stop) service model and acts as a first point of contact for all prospective and continuing students seeking admission and registration information.
- Provides administrative and clerical support to all functions of the University’s Admissions, Recruitment, and Continuing Studies programming.
- Liaises with EducationPlannerBC and downloads, updates, and maintains applications for all programming as required on the Student Information System (SIS).
- Monitors and downloads the electronic submission of transcripts and English language proficiency test scores through the Electronic Data Interchange websites, including IELTS, TOEFL, IB, PARCHMENT Docufide and others as they come on stream.
- Enters admission decisions and merges communication plan documents for all programs on the Student Information System (SIS).
- Provides specific information to students in person, over the telephone, and through email regarding eligibility, admission policies and procedures and decisions, and portfolio requirements for all programs.
- Provides general information about Financial Aid + Awards opportunities for all programs.
- Responsible for communicating general information for all Student Services and Continuing Education functions to student, staff, faculty, and the public.
- Maintains and implements the Communication Management Document System for Prospect and Applicant in the Student Information System (SIS).
- Manages and updates the letter and email templates used throughout the application and admission cycle within the Student Information System (SIS). Processes the conversion of new students’ application files to official student records and the archiving of unregistered applicant files.
- Organizes the shipping and receiving of recruitment materials.
- Assists with the organization of portfolio reviews through SlideRoom for all programs as required.
- Recommends and coordinates student monitors for University tours and other Student Services activities.
- Responsible for maintaining files, records, and reports for the department.
- Assists with recruitment events on and off campus as required.
- Occasionally expected to adjust work schedule during peak admission/registration periods.
- Performs other related duties as required.
