What- the Role: 
On behalf of our client, SWIM is recruiting for a new Administrative Assistant. This role is similar to a Junior EA position and in a nutshell it is: “EA to the EA to the CEO”.

This is a fantastic opportunity for someone who wants to develop into a top-notch corporate Executive Assistant in the coming years- the person who gets the job will benefit from excellent mentorship from one of Vancouver’s best EAs and will get a ton of exposure to all areas of executive assistance and office coordination. The Administrative Assistant will report directly into the EA to the CEO, and will also get to work with 14+ other colleagues in Executive Assistant, Administrative Assistant, Administrative Coordinator, and Receptionist roles.
The Jr. EA will support the EA to the CEO with calendar management, booking meetings, crafting internal communications, preparing meeting rooms, processing invoicing and expense reports, coordinating International travel, etc. Additionally, the EA will prepare meeting materials, put together presentations, compile reports, and manage the department’s annual calendar.

Additionally the new Admin Asst/Jr EA will support office coordinator/office management, such as covering the front desk reception when needed, liaising with property manager, ordering office supplies, etc.
Excellent professional writing skills are important in this role. Various systems will be used by the new EA including the full Microsoft Office suite (Outlook, Word, Excel, PowerPoint, and Teams), as well as SharePoint, Zoom, and Workiva.

Who- the Candidate: 
We are seeking a well-rounded administrative professional who is detail-oriented, organized, and professional, and who has a can-do approach to their work. Qualified candidates will have at least 5 years relevant, well-rounded, and progressive experience in administration in a corporate office environment, including some exposure to administratively supporting an SVP or C-suite leader. Qualified candidates will be skilled in scheduling, coordinating, organizing, and planning.

Clear communication skills (written and verbal) are crucial as this role involves a great deal of interaction with management, colleagues, and other employees.

Experience working in complex and global corporation is beneficial but not required. Some form of post-secondary education is highly preferred but not necessary.

The Administrative Assistant will be excellent at maintaining confidentiality and will also be a collaborative team player who can work hard while also enjoying the dynamic, friendly, and fun-loving culture.
  
Where: 
Based in a corporate office right in the heart of Downtown Vancouver. Full-time in office.  Close to public transit and many amenities like restaurants and shops.

How Much: 
Competitive base salary commensurate with experience and skills, likely in the range of $60,000 to $74,000, with some wiggle room beyond that for someone who has highly relevant work experience and qualifications.  This company provides an excellent total compensation package including a very generous amount of vacation time, a healthy bonus, a pension plan, great health & dental benefits, and other perks- please discuss further with SWIM.
