Job Summary

The Team:
The Financial Services Branch works closely with ministry executives and divisional leads to provide a comprehensive range of financial and management services that support the ministry's strategic direction and lead its financial administration system. As part of an established team, you will work alongside another Branch Coordinator to provide administrative support to the CFO/ED, four directors, and a branch consisting of approximately 75 people. The team routinely collaborates with other coordinators, supports the Executive Director/CFO, and engages with various Directors, Managers, designated accountants, financial analysts, and other administrative financial positions. The impact of their work is significant, managing the Ministry's financial framework to support its mandate and strategic direction. What sets this team apart is their commitment to assisting vulnerable children and families across the Province.

The Role:
In this role, you will be responsible for key administrative functions including calendaring, onboarding, and general support for branch staff. Your duties will encompass coordinating office administration functions such as human resources, payroll, records management, facilities, and asset management, as well as providing project management support, including project monitoring and reporting. The role is critical in supporting the CFO, who is focused on optimizing the Ministry's finances to maximize support for children, youth, and families within the Province. A strong Coordinator enables the CFO to make well-informed decisions with confidence. Qualifications:
Education and Experience Requirements

  • A minimum of Grade 12 education (or equivalent).
  • Two (2) years or more of experience providing administrative and financial support services to a group of staff.
  • Experience with keyboarding, word processing, spread-sheeting, and other standard computer applications (e.g. MS Word, Excel, Outlook, PowerPoint).
  • Six (6) months' experience with approval workflow system (ex: eApprovals) and records management
  • Six (6) months' experience managing onboarding of new staff (securing space, IT requirements etc.)

Preferences may be given to applicants with:
  • Three years or more of experience providing financial and administrative support to a large group of staff.
  • Experience working in an executive office setting.
  • Experience with financial transactions/activities (e.g. accounts payable, purchasing, petty cash reconciliation, etc.)
  • Experience in accounting, contracts, and financial procedures/practices.
  • Experience with the Time, Leave, and Attendance Management (TLAM) System.

About this Position:
Flexible work options are available; this position may be able to work from home up to 2 days a week subject to an approved telework agreement.
There is currently a temporary opportunity available until March 31, 2025.
