About the OpportunityAurora Developmental Services is seeking a Clinic Manager based in Vancouver, BC, to oversee our two local clinics and booking therapy and consultation appointments. The role offers the flexibility to start out as part-time with potential to transition to full-time.
This role will directly support the day-to-day operations of our practice, assisting Dr. Rae-Seebach with a variety of administrative tasks to enable her to focus more effectively on her professional responsibilities. You will also handle the scheduling of therapy and consultation appointments through the Child-Psychologist-Vancouver.ca and EndingWell.ca websites.
More specifically, your responsibilities include but are not limited to:
- Managing office operations and administrative systems
- Booking and organizing travel arrangements
- Handling calendar management for our practitioners
- Monitoring and ordering test inventory as needed
- Setting up and managing technology and software tools, including our booking system (Jane App)
- Filtering enquiry emails and calls, and booking initial assessments
- Maintaining patient confidentiality and handling sensitive information
- Preparing and sending out educational and informational newsletters
- Supporting the setup of a business phone system to manage calls
- Assisting with light marketing tasks, such as managing email and calendar lists
- Facilitating office transitions and organizing small office settings
To qualify, you will need experience as an Executive Assistant or Office Manager. A minimum of 3 years in a healthcare or clinical setting is also essential. Familiarity with administrative software, particularly the Jane App booking system, is required.
Additionally, the following skills and background will be highly valued:
- Proficiency in Google Calendar and Mailchimp
- Experience with Microsoft Office, including Word, Excel, and PowerPoint
- Knowledge of email management systems and basic website maintenance
- Capability to handle multiple calendars and booking systems
- Understanding of encrypted email services like Hushmail
