Overview
We are looking for an Administrative Coordinator for the Innovation Technology, Analytics and Property (ITAP) division at WorkSafeBC in our Richmond head office.
In this role, you'll use a high level of discretion and tact in handling confidential and sensitive management information related to WorkSafeBC's operations and regulations. If you have administrative experience supporting Director level operations in large complex organization, proficiency in Microsoft applications, exceptional customer service, effective organizational skills, and can execute a high level of professionalism and confidentiality, consider applying for this exciting 3-month temporary opportunity.

Salary: $63,879 - $77,613/annually

What you'll do
As an administrative coordinator, you will:
- Support the director by performing administrative tasks, including maintaining calendars, scheduling meetings, conferences, events, and assisting the management team as needed.
- Manage and maintain departmental organizational chart, SharePoint sites, Distribution lists.
- Coordinate divisional safety meetings.
- Record, organize and prepare complex and confidential reports and meeting minutes
- Compose written responses, memos, minutes, presentations, and communications from both verbal and printed sources.
- Coordinate travel arrangements and assist in tracking expenses and vacation schedules for the management team.
- Receive, screen and refer incoming inquiries and correspondence from internal and external sources. Answer routine inquiries with respect to departmental activities
- Assist with any onboarding and offboarding related activities for employees and contractors, including arranging equipment and corresponding access.

- Use discretion, handle confidential and sensitive information, and resolve conflicts
- Identify opportunities to improve systems and processes; recommend solutions and refer issues as appropriate
- Adapt, be flexible and learn quickly
- Work collaboratively and effectively in a team environment
Your background and experience
- Completion of grade 12; some post-secondary education in Business or Business Administration is preferred
- Minimum 3 years of related work experience in an administrative role supporting senior management and/or Director level operations
- Strong working knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook and Teams
