Job Title: Senior Accounts Payable Specialist
Department: Finance & Operations
Location: Vancouver
Salary: $62,000 – $65,000 per year
Reports To: Manager, Accounting
The Senior Accounts Payable (AP) Specialist will oversee the full cycle of Accounts Payable functions, ensuring efficient processing and compliance with internal controls. This role will work closely with the Finance team, while maintaining high standards of financial accountability. Ideal candidates will have experience in the Not-for-Profit sector and familiarity with NetSuite or a similar ERP system.
Key Responsibilities:- Accounts Payable Management:
- Manage and process vendor invoices, credit card purchases, and employee expense reports.
- Perform three-way matching of purchase orders, receipts, and invoices.
- Reconcile vendor statements and resolve discrepancies promptly.
- Prepare and process payments within contractual terms.
- Month-End Procedures:
- Oversee accounts payable month-end processes, ensuring accurate and timely financial reporting.
- Support the finance team in preparing reconciliations and ensuring proper periodic cut-offs.
- Procurement & Compliance:
- Maintain procurement processes and ensure adherence to policies and procedures.
- Monitor and control petty cash balances and related transactions.
- System Optimization:
- Participate in ERP system enhancements, including NetSuite implementation projects.
- Support digital transformation initiatives to improve the efficiency of AP processes.
- Cross-Departmental Collaboration:
- Partner with various departments to provide a high level of customer service and support.
- Assist with special projects and provide backup support for Accounts Receivable and other finance functions.
- Education:
- Post-secondary education in Accounting or Finance.
- Working toward or holding a professional accounting designation (e.g., CPA) is preferred.
- Experience:
- Minimum of 3 years of experience in an Accounts Payable role, preferably within the Not-for-Profit sector.
- Hands-on experience with NetSuite or similar ERP software is highly desirable.
- Skills:
- Strong attention to detail and organizational skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Excel and other Microsoft Office applications.

- This is a full-time position based in a Vancouver office, with standard office hours and occasional overtime or weekend work as needed.
